Mzizi Directors' Digest Article

A school leader reviewing Mzizi digest dashboards on a laptop

Better school decisions start with reports you don’t have to wait for“Let me check and get back to you” is costing your school.

The problem

The numbers arrive too late

Ask for a number in most schools and you’ll hear it: “Let me check and get back to you.” Yet the data already exists: every fee payment, every mark, every football practice. The trouble is getting it out.

The Director waits for the finance office. The Head of Finance loses the first week of every month matching bank slips. Marks reach the Head of Academics after the term has ended. And the talent on the pitch or in the dance studio is rarely written down at all.

By the time the numbers arrive, the moment to act has passed. A fee gap becomes a cash crisis. A weak subject becomes a bad result. A gifted learner goes unnoticed.

The solution

The right report, for the right person, in time

Mzizi ERP now turns that everyday data into ready-made digests, each generated in one click. Picture one school and four of its leaders, followed through a single term:

  • Grace, the Director
  • Peter, the Head of Finance
  • Amina, the Head of Academics
  • Brian, the Head of Co-curricular

Week 1, Monday, 7:30am. Director Finance Digest

Grace, the Director: "Where do we stand today?"

Before
A Friday spreadsheet, and the shortfall found at term end.
Now
Before her first meeting, she sees 53% collected, 21.8 million shillings outstanding, and exactly which classes are behind.

Grade 9 and Grade 6 collect least

Collection rate by class, % of fees billed

Collection rate by class: PP1 71%, PP2 66%, Grade 10 63%, Grade 1 62%, Grade 3 61%, Grade 2 58%, Grade 7 57%, Grade 5 55%, Grade 8 52%, Grade 4 49%, Grade 6 44%, Grade 9 38%

What Grace does: flags Grade 9 and Grade 6 to Peter and puts them on this week's management agenda, not next term's.

Week 1, Monday, 9:00am. Director's Digest, collections and debtors

Peter, the Head of Finance: "Where is the money stuck?"

Before
Days lost every month matching M-Pesa statements and bank slips to learners, leaving little time to chase debt.
Now
An hour after Grace's review, Peter opens the same digest to see how parents paid and who owes the most.

How parents paid this period

  • M-Pesa 64%
  • Bank slip 21%
  • MziziPay 10%
  • EFT 5%

Mzizi is integrated with M-Pesa and with banks such as Absa, KCB, NBK, Equity, Co-operative Bank, Family Bank, M-Oriental, NCBA, Gulf African Bank, etc. So 79% of this period's payments were receipted and matched to the right learner automatically, the moment they landed. Only manual bank slips still need his team's attention.

That frees Peter's week for what matters: debtors. The digest shows who owes the most, and that transport collects just 41%, against 58% for tuition.

What Peter does: with reconciliation off his desk, he automates reminders for the many small balances, personally calls the five largest that week, and takes transport pricing back to Grace.

Week 6, mid-term. Formative and Subject Grade Analysis digests

Amina, the Head of Academics: "Who needs help before results day?"

Before
Weak subjects discovered when report cards went out.
Now
Halfway through the term, the Formative Digest shows Grade 3 Kiswahili at 2.76 out of 4, the weakest area in the school, and which teachers are behind on marking.
Learning areas needing attention, and assessment completion by class

Last term's Subject Grade Analysis had flagged Science at 62.5%, so she tracks that too.

What Amina does: adds two Kiswahili sessions a week for Grade 3, chases late marking before the lockout, and gives Science more lab time.

Week 13, end of term. Co-Curricular End of Term Report

Brian, the Head of Co-curricular: "How do I show parents real progress?"

Before
"She's doing well in ballet" was the whole report.
Now
Every learner gets a signed report per activity: ratings, a skills grid, strengths, areas to grow and a next-term recommendation.

What Brian does: moves two dancers up to the advanced group, with the evidence on paper. Parents see what their activity fees pay for.

By the end of term: one school, one set of numbers

Grace, Peter, Amina and Brian each asked a different question and got the answer from the same data, entered once. Nobody had to say “let me check and get back to you.” Explore every digest at www.mzizi.co.ke.
